Senior Projects and Compliance Officer (HEO)

Role overview

The OCO invites applications from interested candidates for the position of Senior Projects and Compliance Officer. The successful candidate will be a member of the OCO Corporate Services Unit, will report to the Head of Corporate Governance, Compliance & Services, and will work across units on relevant projects.

Key Responsibilities

Key responsibilities of this role would include, but not be limited to –

 

  • Compliance

    • Public Sector Duty

      • Implementation and ongoing maintenance of our obligations under Public Sector Duty

    • Customer Charter

      • Support in development of customer charter for the Office

    • Disability Act

      • Design and implement action plan liaising with relevant internal stakeholders

      • Ongoing implementation of our obligations under this legislation

    • Data protection

      • Act as Data Champion for the Corporate Services team. 

      • Project manage and providing leadership and support on data protection, retention and destruction projects within HR, Finance, Compliance, ICT and Governance.

    • Climate Action Mandate

      • Design and lead on a climate action mandate across the Office - procurement, premises, travel, events

      • Report to DCEDIY on our progress under our climate action mandate 

  • Records management

    • Setting and Implementing a suitable Records Management Policy for the Office

    • Ongoing management of this policy, through quarterly audits, liaising with key stakeholders

    • Leading the Information Officers working group with representatives from each unit in the Office.

    • Leading on the ongoing implementation of edocs within the Office

    • Implementation and ongoing maintenance of a central repository of policies and procedures​

  • Customer Management

    • Create specification and business case for a system to manage front of house and liaise with each unit in the Office

    • Implementation and ongoing maintenance of this front of house system.

  • Project management

    • Implement a collaborative project management methodology, creating critical templates (business case, project approach, assurance checks, reporting), and ongoing maintenance of systems

    • Project manage changes to the layout of the Office and potential refurbishment project and provide regular progress updates to the management team

    • Provide project management support to the Management team on specific projects e.g. workforce planning, strategic planning, business planning

    • Coordinate and provide high level support to significant projects within the Corporate Services unit as required

Essential Requirements

Candidates must have:

 

  • A qualification of at least level 8 of the National Framework of Qualifications from a recognised university or other third level institution in Business, Project Management or a related discipline;

 

And

  • A minimum of 2-3 years’ relevant experience in a similar role;

  • A qualification and experience in project management;

  • Excellent planning and organisation skills;

  • A proven ability to effectively prioritise work to ensure that required tasks are executed in a timely manner and to a high standard;

  • Excellent written and oral communication skills;

  • Excellent IT skills in particular excel and database skills.

Desirable

  • A qualification or experience in records management and / or data protection would be highly desirable.
